How Viaxar Technologies collects, uses, and protects your personal data.

Last updated: 25 September 2026

1. Who We Are

Viaxar Technologies ("Viaxar", "we", "us") develops business software solutions, including ViaxarHR, Inventra, LMS Academy, OmniSupport, and Privacy Ghana. This policy explains how we collect, use, store, and protect personal data when you visit our website, contact us, or use our products and services.

Viaxar Technologies is the data controller for personal data collected through this website and our direct communications. Where our products are used by a business customer, that customer is the data controller of the data processed within the product, and we act as a data processor on their instructions.

2. Data We Collect

Contact details — your name, email address, phone number, and company name when you submit a demo request, lead form, or contact enquiry.

Usage data — pages visited, approximate location derived from IP address, browser type, device information, and referring pages, collected automatically as you use our website.

Account and product data — employee records, clock-in and attendance information, leave requests, training records, support tickets, and other information our customers and their users enter into Viaxar products.

Communications — records of emails, phone calls, and WhatsApp messages exchanged with our sales and support teams.

3. How We Use Your Data

We use personal data to respond to enquiries and provide quotes; to deliver, maintain, and support our products; to onboard and train customer teams; to send service updates and, with your consent, marketing communications; to detect, prevent, and respond to security incidents; and to meet legal, tax, and regulatory obligations.

We process personal data on the basis of: performance of a contract (delivering products you have purchased), legitimate interests (operating and securing our business and website), consent (marketing communications and optional cookies), and compliance with legal obligations.

4. Data Sharing

We do not sell your personal data. We share it only with: trusted service providers who host our infrastructure, process payments, and deliver email on our behalf, under contractual confidentiality and security obligations; professional advisers where reasonably required; and law enforcement, regulators, or courts where we are legally required to disclose.

Where personal data is transferred outside Ghana, we apply appropriate safeguards, such as standard contractual clauses, to ensure an equivalent level of protection.

5. Data Security

We protect personal data with AES-256 encryption at rest and in transit, role-based access controls, comprehensive audit logging, and regular security reviews. Our practices align with ISO 27001 and SOC 2 Type II standards.

No system is completely secure. If a personal data breach is likely to result in a risk to your rights, we will notify affected individuals and the Data Protection Commission in accordance with applicable law.

6. Data Retention

We keep personal data only as long as necessary for the purposes described in this policy: lead and enquiry records for up to 24 months after our last contact; customer contract and billing records for the legally required period; and product data for the life of the customer's subscription, after which it is deleted or anonymised at the customer's direction.

7. Your Rights

Under Ghana's Data Protection Act, 2012 (Act 843), and comparable laws, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data where we have no overriding legal basis to keep it; object to or restrict certain processing; and withdraw consent for marketing at any time.

To exercise any of these rights, contact our privacy team at privacy@viaxarapps.com. We respond to verified requests within 30 days. If you are unsatisfied with our response, you may lodge a complaint with the Data Protection Commission of Ghana.

8. Cookies

Our website uses a small number of essential cookies to keep the site working and remember your preferences. We do not run third-party advertising or cross-site tracking cookies. Details of the cookies we use and how to control them are in our Cookies Policy.

You can control cookies through your browser settings and through the cookie banner shown on the site.

9. Changes to This Policy

We may update this policy as our services or legal requirements change. The latest version is always published on this page with the date of the most recent revision shown above.
